A QR code is the one thing that lets a paper business card do something digital: one scan and your contact details land in someone's phone, typo-free, before the conversation is over. But a business card is also the hardest place to put a QR code — the smallest canvas, the tightest margins, and usually a designer who'd rather the code weren't there at all. Here's how to get it right.

First decision: what should the code contain?

You have three sensible options, and the choice shapes everything else.

Option 1: A vCard code (save my contact)

A vCard QR encodes your actual contact record — name, company, title, phone, email, website. On scan, the phone offers to save you as a contact in one tap. No internet connection needed, nothing to maintain. This is the classic choice and still the best one if your goal is simply "get into their address book."

The catch: a full vCard is a lot of data, which makes the code dense — and dense codes are harder to scan at business-card sizes. Keep the vCard lean (name, one phone, one email, company, website) rather than encoding every field you have. And remember it's static: if your phone number changes, every card in circulation is wrong.

Option 2: A link to a digital profile

Encode a short URL pointing to a personal landing page, a LinkedIn profile, a booking calendar, or a digital business card page. The QR pattern stays sparse and easy to scan, and the destination can be richer than any vCard — photo, portfolio, "save contact" button included.

If you make it a dynamic QR code, you get two extra advantages that matter on a 500-card print run: you can change the destination after printing (new job title, new company, new page — same cards), and you can see scan statistics, which is the only way to ever learn whether people actually scan your card.

Option 3: A single-action code

Some professions benefit from one specific action instead of a profile: a WhatsApp chat link for sales, a calendar booking link for consultants, a portfolio for photographers. If 90% of your follow-ups start the same way, encode that.

A reasonable default: dynamic link code for most people, static vCard if you want zero dependencies and your details are stable.

Size: do not go below 2 x 2 cm

The minimum reliable size for a close-range QR code is 2 x 2 cm (0.8 x 0.8 in) — and that's for a sparse code. A dense vCard code should get 2.5 cm or more. On a standard 85 x 55 mm card, a 2 cm code occupies well under a tenth of one side, so there is no real estate excuse for shrinking it.

Two related rules:

  • Quiet zone: leave at least 4 modules of clear space around the code — in practice, 2–3 mm of empty margin on all sides. Don't run text, rules, or background art up against it.
  • Distance from the card edge: keep the code at least 5 mm from trim edges. Business cards are cut in stacks, and cutting tolerance can shave a millimeter — enough to clip a corner finder pattern and kill the code.

Placement: back of the card, usually

The layout that works most consistently:

  • Back of the card, generously sized. The front stays clean for name and branding; the back gives the code room. Since most cards have an under-used back anyway, this costs nothing.
  • Front placement works if the design is minimal — bottom corner opposite your name, respecting the quiet zone. Avoid squeezing it between text blocks.
  • Never across a fold on folded cards, and never bleeding off the edge.

Add a short action label under or beside the code: "Scan to save my contact" or "Scan for my portfolio." A naked code makes people guess what they'll get; a five-word label measurably increases the chance they bother. Skip "Scan me" — say what happens.

Design: branded, but scannable

A default black-and-white code can look bolted-on. Fortunately QR codes tolerate real styling — QR Studio Lab supports logo, custom colors, and themed styles on both static and dynamic codes. The constraints:

  • Contrast is non-negotiable. Dark modules on a light background. Navy on white: fine. Gold foil on cream: beautiful, unscannable.
  • Dark card stock needs a light panel. On a black card, place the code inside a white or light rectangle rather than inverting it — many scanners reject light-on-dark codes.
  • Logo in the center: keep it under ~20% of the code area and generate the code with error correction level Q or H (which can reconstruct ~25–30% of covered modules). With a lean code and a modest logo, this scans reliably.
  • Matte over gloss. Glossy lamination and foil finishes throw glare under exactly the kind of overhead lighting found at networking events. Matte or soft-touch finishes scan noticeably better. Spot-UV over the code itself is asking for trouble.

Print file: SVG, not a stretched PNG

Send your printer a vector SVG, or a PNG exported at 300+ DPI at final size (for a 2 cm code, roughly 240 x 240 px minimum — export bigger). Never scale up a small PNG in the layout; blurred module edges are one of the most common reasons a printed code fails. Both formats are a free download in QR Studio Lab.

Test before the print run

  1. Print the card layout at actual size on office paper.
  2. Scan with an iPhone and an Android, held one-handed at a natural 15–20 cm — the way someone actually holds a card.
  3. Check the result: does the contact save cleanly, or does the page load fast on mobile data?

The short version

  • Dynamic link code for flexibility and stats; static vCard for zero dependencies.
  • Minimum 2 x 2 cm, plus 2–3 mm quiet zone, 5 mm from any trim edge.
  • Back of the card, with a label that says what scanning does.
  • Dark on light, logo under 20% with error correction Q/H, matte finish.
  • SVG to the printer, and a real-phone test before you order 500.

Do that, and the card you hand over at the next event does its job twice — once in the hand, once in the phone.
